What we do with your details and photos.
Who we are
Living Frames is run by Lloyd Bryde-Evens, a sole trader, at 13 Filkins Lane, Chester CH3 5LG, United Kingdom. Contact: hello@livingframes.co.uk.
What we collect
Your name and email; your dog's name, breed and description; the photos you send, including photos of your room if you choose your own room; and which picture you choose. If you ask us to tell you when our photo frame is ready, your email address. Your order page uses one cookie to keep you signed in; it holds only your email address, signed so it cannot be changed, and is not used for anything else.
Why
To make and deliver your portrait and to talk to you about your order; the lawful basis is the contract between us. If you asked to hear about our photo frame, to email you about it; the lawful basis is your consent, which you can withdraw at any time by replying to any of our emails.
Who else handles it
Your photos are stored by Cloudflare (in the EU) until our server collects them, and your finished portrait is kept there for a year for you to download. Our server is rented from Oracle Cloud, in its London data centre. To make your portrait we use AI services: Google Gemini (the pictures), Anthropic Claude (checking your photos) and fal.ai (bringing them to life). Emails are sent through Resend, and your emails to us arrive in our Zoho mailbox. Payments are handled by Stripe; we never see your card details. If you order from outside the UK, your payment is handled by Link (a Stripe company), which sells the portrait on to you and so also receives your name, email address and billing address. Some of these companies are based in the USA, so your photos and details may be processed there.
How long we keep it
Your photos are deleted from our website as soon as our server has them, and from our server, with the pictures made from them, 30 days after your portrait is delivered. Your finished portrait and your order details (your name, email address and your dog's name and description) stay on your order page for a year so you can download it, and are then deleted. Orders that are never paid are deleted, photos and all, after a day or so. We keep the sales records the law requires for our accounts, without your photos. If you asked to hear about our photo frame, we keep your email address until you tell us to stop.
Your rights
You can ask to see, correct or delete your information at any time by emailing us. If you are unhappy with how we handle it, you can complain to the Information Commissioner's Office (ico.org.uk).
